Lab Report
Page Description
The options available on this page depend on how you access it.
- If you access it from the Location Inbox or User Inbox pages, you may view current or historical results for the
order, view newer or older versions of the report, view the delivery history (if you have the necessary access rights), redeliver the report, view or modify comments,
acknowledge the report, fax the report, or print the report, as well
as access the Result History page.
- If you access it from the Order History, Order Patient Samples, or Search pages, you may view current or historical results for the order, view the delivery history (if you have the necessary access rights), redeliver the report, view or modify
comments, fax the report, or print the report, as well as access the
Result History page.
- If you access it from the Reassign Orders page, you may view current or historical results for the order, view the delivery history (if you have the necessary access rights), redeliver the report, view or modify comments, and fax or print the report.
Copia determines the report header, body, and footer formats based on the page from which you print the lab report.
- If you print the lab report from the Location Inbox, Copia uses the default report format settings for the current location that were set in the Locations administration page. See the Admin: Locations topic.
- If you print the lab report from the User Inbox, Copia uses the default report format settings for the current user that were set in the Result Delivery page. See the Result Delivery topic.
- If you print the lab report from any other page, Copia uses the default report format settings that were set in the System Defaults administration page. See the Admin: System Defaults topic.
Patient reports you print from the Location Inbox and the User Inbox have a "Copies sent to:" field in the footer, where Copia lists potential providers and host interfaces. Patient reports you reprint from the patient's Order History page do not display the "Copies sent to:" text and data. Note that the CC list at the bottom of the report in the "Copies sent to:" field is a list of POSSIBLE recipients. Whether or not the recipients received the report depends on the recipients' result delivery settings at the time Copia created the report. For example, if a CC recipient's result delivery setting is to receive reports only when all order choices are final in an order, and if the report only contains final results for one order choice out of several ordered, then Copia would list the recipient as a possible CC recipient on reports printed from the Location Inbox or User Inbox, but it would not actually send the report to the recipient until all of the order choices in the order were final.
The title of the report changes slightly, depending on where the report was printed and whether or not the setting to display history is enabled. Copia adds "(Summary)" only when it is not a delivered report (e.g., Order History page); otherwise, Copia does not add any text to the "LAB REPORT" title. Depending on the administration settings for the order choices in the report, Copia may suppress historical results on lab reports. See the Admin: Order Choices topic.
Note that depending on the security rights assigned to your role, Copia may restrict access to the lab report results based on whether you are an associate of the ordering provider for an order. In addition, depending on the settings for the order choices on the report, the results may have to be manually released on the Release Results page before you can see the results on reports. Accessing this Page
- Click the Order ID of the desired order, and then click Lab Report in
the pop-up list in the Collect Samples, Location Inbox, User Inbox, Pending
Orders, Order History ("Partial" or "Complete" statuses
only), Create Manifest, or Find Patient or Order lab tasks pages or the Lab Orders administration page.
- Click the View Order's Summary Report button in the Reassign Order page in the Administration menu. You must have the necessary security permissions to access Administration menu items.
- Scan an order bar code while the default page when scanning setting on the System Defaults administration page is set to open the Lab Report page.

Reviewing the Lab Report (accessed from the Location Inbox or User Inbox pages)
- The Lab Report page contains a detailed report for the selected
order. Copia creates the report using the location report format settings for the Location Inbox and the user report format settings for the User Inbox. Note that Copia does not display results for cancelled order choices. Use the scroll bar on the right side of the page to view the
entire report.
- Once you select a patient, Copia displays the patient's name, age, sex, and Patient ID at the top of the page. You may modify demographic and insurance information or review the patient's order history; or place an order, collect samples, print a blank requisition, or print labels by clicking the links listed below.
- Demographics: Click this link (or press the [Alt] [U] hotkey) to view or modify the patient's demographic information. See the Demographics topic.
- Insurance: Click this link (or press the [Alt] [I] hotkey) to view or modify the patient's insurance information. See the Insurance topic.
- Order History: Click this link (or press the [Alt] [O] hotkey) to view the patient's order history or edit an order. See the Order History topic.
- Options: Click this link to open a pop-up list
of actions. Select the action you wish to take for the selected patient: New Order (to place an order for the patient in the Order Patient Samples page), Collect Samples (to collect samples for all orders for the patient that are ready for collection), Blank Patient Requisition (to view or print a blank requisition from the View PDF page), or Patient Labels (to print the system default patient-type labels). When creating blank requisitions, Copia will attempt to use the format selected for your signed in location, if available. If not, Copia uses the system default format. If the location's format is set to use the system default, and if the system default format is set to "None," then Copia disables access to create blank requisitions.
- Some of the information displayed on the report depends on the administration settings for the order choices, including:
- By default, Copia displays the most recent result posted for each different test within an order choice; however, depending on the administration settings for the order choices, Copia may only display the most recent set of test results for an order choice that were sent in the HL7 result message.
- Copia displays the test name on patient lab reports. When Copia automatically creates the test from results, it sets the name to the order choice's abbreviation by default; however, you may edit this field, if desired, on the Tests administration page to modify what appears on patient lab reports.
- Copia may display a time zone abbreviation after all dates on patient reports. The time zone on the report is typically based on the time zone for the recipient of the report. Note that if the patient report is viewed from the Location Inbox or User Inbox pages, the report may not show the time zone. Reports viewed from these two pages get saved into the database after their first viewing, so if this option was not enabled when the reports were originally viewed from the Location Inbox or User Inbox pages, then those reports will never display the time zone.
- Copia may display the fasting value for the order, depending on the location administration settings for the ordering location. Note that when printing a fasting value, Copia prints the number of fasting hours only if specified. For example, if the number of fasting hours is set to 5.5, then Copia prints "Yes, 5.5 hours," but if fasting is selected but no hours are set, then Copia prints "Yes."
- Copia may insert a blank line before some tests on the report, depending on the administration settings for the tests. Note that the setting that controls the extra space before tests is a location-specific setting.
- The contents of the report may be slightly different, depending on what report format you use. For example, the standard report body will always display the encounter field, the alternate report body will only display the encounter field if the order has an encounter ID, and custom reports may or may not include the encounter.
- If the patient photo feature is enabled, Copia displays the patient's photo on this page, as well as the demographics. If there is no photo for the patient, Copia displays the standard "No photo available" image instead. See the Demographics topic.
- Copia
always displays the most recent report for the order. Click the Show
Historical Results checkbox to view previous results for order choices
in the report.
Note that this checkbox is disabled for some report formats.
Depending on the System Default administration settings, this checkbox may be selected by default. Clear the checkbox to remove the historical results from the report.
When you display the historical results, Copia displays a column for each result, with the collection date, approval date, or creation date listed at the top of each result column. The date and time listed depends on what date is available:
- If there is an associated collection time recorded, it will appear.
- If there is no collection time, it will display the most recent approved date/time for the results.
- If there is no approved date/time, it will display the most recent creation date/time for the result records.
- Click one of the Tests in the order or click the Graph button to view the test history or graphing
for the selected test. See the Report Graph topic.
- If there are multiple versions of the report, you may click the
Older Versions or Newer Versions buttons to view the
other reports.
- Copia displays "Viewing Entry X out of Y" to indicate which record from the inbox page your are viewing and where it falls in the list of orders. Click the Previous Entry and Next Entry buttons to navigate through the list of records from the inbox page without needing to return to the inbox.
- Click Delivery History to open the Result Delivery administration report page with the appropriate order selected and a time range that should encompass all result deliveries for the order (start date = ordered date, end date = current date). See the Admin: Result Delivery topic. You must have the necessary rights to access the Result Delivery administration report page in order this button to appear on the Lab Report page.
- Click Redeliver to redeliver the most recent results to all qualified recipients at the time you click the button (note that inbox recipients are not redelivered, since it would nullify past acknowledgements). This button will only be present for users who either have the right to use the Report Redelivery page or to users who have the right to redeliver reports from the "Results To" page accessed from the Order Patient Samples page.
- Click Comments to view or modify the list of comments related
to the current order in the Order Comments page. See the Order
Comments topic. Note that if there are comments for the order, the button text will be italicized.
- Click Acknowledge to indicate that you have reviewed the report.
When you acknowledge a report, you are also acknowledging any previous
versions of the report that may exist. When you perform your next search, Copia removes the
acknowledged results from the list; however, you may still view these
results by viewing the patient's record in the Order History page. See the
Order History topic.
- Click the Refresh button to regenerate the report with any updated information.
- Click Fax to send the report via fax from the Fax Recipient
page. See the Fax Recipient topic. Note that this button is only visible if you have the necessary security right.
- Click Print to print the report. Change the print settings in the print dialog, if needed and click Print. Copia prints the report according to the settings you established in the print dialogs (number of copies, printer destination, etc.). When you access this page from the Order History page, and you print a report using alternate header one, the "Deliver To" field changes to "Requested By."
- After reviewing the report, return to the preceding
page by clicking < Back to Inbox.
- Once you have reviewed or printed a report, Copia stores a copy of the report. Note that it only saves result reports and not summary or other reports.
- If you re-open or reprint this report, Copia retains the Printed date and time in the header from the first time the report was viewed or printed.
- If any report recipients change their report formats after Copia creates the report the first time it is viewed or printed, Copia displays an alert in red at the top of the page notifying you that recipients have changed their report formats since the report was originally viewed or printed.
- Copia has a utility that will clean up the temporary report display files that have not been modified in over two days. It creates these files when it displays reports. To take advantage of this feature, make certain that your Copia system is running at midnight. Copia runs the clean-up utility at midnight if the system is operating.

Reviewing the Lab Report (accessed from the Order History, Order Patient Samples, or Search pages)

order. Copia creates the report using the system default report format settings. Note that Copia does not display results for cancelled order choices. Use the scroll bar on the right side of the page to view the

- Click on the "Order ID" link to open the order context, then select "Lab Report," then "Deliver." The report delivery context menu includes a "Patient" menu option. The "Patient" menu has a submenu with one option: "Email." Clicking on the "Email" menu option opens the Deliver Lab Report pop-up. The Deliver Lab Report pop-up appears and auto-fills the email address (the email address has been added to the Demographics page). Click the Deliver button to deliver the email. Once the delivery is complete, a pop-up message "Delivery Complete!" will appear. This allows a user to choose the option of "Patient Email" from any delivery point in Copia and then have the email address automatically fill in.
- After reviewing the report, return to the preceding page by clicking the back button.
