Admin: Profiles
Page Description
Use the Profile List page to view, create, or edit the format for the Profiles list on the Order Patient Samples page. You combine frequently ordered order choices into one group of order choices, or a profile. Using profiles may save time during order entry because you only need to select one profile instead of selecting individual order choices for the order.

Accessing this Page
- Click the Administration menu button, click the Order Choice Setup button, and then click the Profiles submenu link. You must have the necessary security permissions to access the Administration menu button.
When you click the Administration menu button, Copia opens the main Administration menu, which contains administrative menu buttons, including the Order Choice Setup menu. To return to the main menu for Copia, click the Lab Tasks menu button.

Viewing the Profile List
- The Profiles list page contains a list of up to ten profiles, listed with the profile's Owner, the Order Choices on the profile, and the profile's Active status. If the list is longer than one page, use the Page links, located below the list of profiles, to navigate through the list.
- To view active profiles only, select the Show active only checkbox at the top of the Profiles page. You set the inactive/active status in the Profile Details section of the Profiles details page. See "Adding or Editing Profile Details" below.
- To view the profiles users have created, select the Show user profiles checkbox. Copia adds any user-owned profiles to the list, displaying the names of users or practices that own the profiles in the Owner field. It displays "System" as the owner for system-owned profiles. If you clear this checkbox, Copia only displays practice- and system-owned profiles.
- If you cannot find the desired profile, use the Search or Search Components options to narrow the list to those that match your entry. Click the List option to return to the full list of profiles.
- Search: Enter one or more characters of the profile name, profile abbreviation, or alternate ID1 in the Search field, and then click the Search button.
- Search Components: Enter criteria for several order choices (Copia will search the abbreviation, name, Orchard name, and alternate ID1 to match the order choices) separated by the designated search field delimiter. Copia will return profiles that have components that match all of the order choices given.
- To create a new profile, click the Add button or the Copy button in the Profiles list page. See "Adding or Editing Profile Details" below.
- Clicking the Add button opens a blank record in the Profiles details page to create a new profile.
- Clicking the Copy button opens a new record in the Profiles details page to create a new profile based on the profile associated with the button you clicked. Copia copies many of the settings from the existing profile. Note that the button is only visible if the user has security to create a new profile.
- Click the name of the Profile on the Profiles list page to view or edit profile information in the Profiles details page. See "Adding or Editing Profile Details" below.

Adding or Editing Profile Details
- Use the Profile Details section of the Profiles details page to add or edit information for the profile.
- Enter the name of the profile in the Profile Name field. This field is required.
- Enter the abbreviation of the profile in the Profile Abbreviation field, if desired.
- Enter an alternate identifier in the Profile Alternate ID1 field, if desired.
- Enter the description of the profile list in the Profile Description field, if desired. This text area has Text Shortcuts functionality. For more information on using Text Shortcuts, navigate to the Using Text Shortcuts topic.
- To edit the profile name or description, highlight or delete text already displayed in the field, then modify as desired.
- Select the Active checkbox to enable users to use the profile. Clear this checkbox to restrict users from using the profile. If the profile is inactive, Copia clears it from the Profiles list page when you select the Show active only checkbox. See "Viewing the Profile List" above.
- If your modifications are complete, click Save to record all changes. Otherwise, complete the remaining sections and then click Save.

Adding or Removing Order Choices
- Use the Order Choices in Profile section to assign order choices to the profile.
- Enter one or more characters in the Search field and click the Search button to add the order choice using the Order Choice Search page. See the Order Choice Search topic.
- Once you select one or more order choices, Copia displays the order choice's names and abbreviations in the order you added them.
- Copia also displays if any order choice Restrictions Exist, and the Active status of each order choice.
- To remove an order choice from the profile, click the X button that corresponds to the order choice.
- If your modifications are complete, click Save to record all changes. Otherwise, complete the remaining sections, and then click Save.

Setting Profile Owner and Availability
- Use the Owner section to set the owner and availability of the profile on the Profiles list page. Depending on your settings, Copia will display this profile either for all users or only for users whose signed in locations are associated with the selected practice.
Note that if you are viewing the details of a user-owned profile, Copia lists who owns the profile, but it will not allow you to modify the availability of other users' profiles.
- Select one of the options below to set the profile's owner on the Profiles list page.
- Entire System: Click this option to display this profile for all users, regardless of the practice their signed in locations are associated with.
- Limit to Practice: Click this option to only display this profile for users whose signed in locations are associated with the practice you select in the search field.
- If you select the Entire System option, you may set the Availability options.
- Default Access: Select Allow or Deny to set whether Copia allows or denies access to the profile when no exception information is available.
If you select Allow, Copia will allow practices or locations to access the profile unless you deny access for the practice or location on the exception lists. If you select Deny, Copia will only allow the practices and locations specified in the exception lists to access the profiile. Note that ordering location exceptions override practice exceptions.
- Practice Exceptions: Click the Add button to add a practice from the Practice Search page to add to the exception list. See the Admin: Practice Search topic. Once you add the practice, select the Allow or Deny option to allow or restrict the practice's access to the profile. These settings work the same as the default Allow/Deny settings, except that it only applies to the selected practice. Click the X button to remove the practice exception.
- Location Exceptions: Click the Add button to add a location from the Location Search page to add to the exception list. See the Location Search topic.Once you add the location, select the Allow or Deny option to allow or restrict the location's access to the profile. These settings work the same as the default Allow/Deny settings, except that it only applies to the selected location. Click the X button to remove the location exception.
- If you select the Limit to Practice option, enter one or more characters in the Search field and click the Search button to select the practice in the Practice Search page. See the Admin: Practice Search topic. Note that you cannot search
using quotations within the search string, or Copia will truncate the search term.
- If your modifications are complete, click Save to record all changes. Otherwise, complete the remaining sections, and then click Save.

Adding or Editing Profile Host Codes
- Use the Profile Host Codes section to add or edit host codes to the profile.
- Click the Show link located in the section title bar to display the host information. To hide the host information, click the Hide link that appears in the section title bar.
- Copia displays the list of available hosts with the host type and active statuses.
- Add or edit the host name, type, and active status in the Host Details section of the Hosts details page. See the Admin: Hosts topic.
- Select the Show active hosts only checkbox to view active hosts only. Set the active/inactive status in the Host Details section of the Hosts details page. See the Admin: Hosts topic.
- To add a host code, click the Add Code button and enter the host code for the profile in the Host Code field. If you try to save a host code that is identical to another code for the same host for two profiles, Copia displays a warning message that details where up to ten conflicts lie and prompts you to proceed with saving the host codes or not.
- To edit the host code, highlight or delete text already displayed in the field, then modify as desired.
- Click < Back to List to return to the Profiles list page without saving any changes.
- Click Save to record all changes and return to the Profiles list page.
