Selecting
a Patient
Feature Description
Before you may place orders, collect samples, or review patient information,
you must select a patient. The Find Patient field at the top of
every page in Copia
allows you to find and select a patient. Once you have selected the desired
patient, the actions you perform are based on the selected patient. To
work on a different patient record, simply perform another search.
Depending on the administration settings for your signed in location, the Find Patient field may be disabled when you use the Order Patient Samples page, or Copia may restrict your searching to one or more of the following: Last Name, First Name, Aliases, Date of Birth, Patient ID, SSN, MRN, or Master Patient ID.
If your facility uses the LKSmartSearch program to select patients and you need assistance with setting up or troubleshooting the search feature, please contact Ellkay for technical support. If you need assistance contacting Ellkay, or for questions about using LKSmartSearch with Copia, please contact Orchard Software Technical Support.

Selecting a Patient
- Enter one or more characters of a patient name, date of birth (in the format MM/DD/YYYY), Social Security Number (exactly as it appears in the patient's record), or three or more digits of a Medical Record Number (MRN), patient ID, alternate patient ID, master patient ID (of a linked patient record), sample
ID (from Copia or from an EMR or other incoming electronic order), or order ID into the Find Patient search field at the top of the page.
IMPORTANT: When searching by date of birth, you must enter a 4-digit year for Copia to search correctly.
- Click Search.
- Copia
displays the results in the Find Patient or Order page. Select the desired patient
from the list. See the Find Patient or Order topic.
- Once you select a patient, Copia displays an
overview of the patient's demographics (name, age, sex, and patient
ID) beneath the search field in the top portion of the page. Copia also displays
the appropriate information for the patient in the page that you had
open when you selected the patient. For example, if you have the Order Patient Samples page open when you select the patient, then Copia automatically
opens a new order for the patient as soon as you make your selection.
Depending on the administration settings for your signed in location, when you select a patient, Copia may display a message that lists all orders ordered for the patient within the past number of hours or that have been ordered for the patient for a time within the next number of hours.
- If you did not find the correct patient in your search, search again,
or click the New Patient button in the Find Patient or Order page to create
a new patient record.

Viewing Recent Patient Selections
- Click the Recent button next to the Search button at the top
of the page.
- If you have selected one or more patients using the Find Patient
search feature (see "Selecting a Patient" above), then Copia displays a
pop-up list of the last 10 patients selected. Patients are listed with
their name, sex, date of birth, patient ID, and sample ID.
- If you have not selected any patients using the Find Patient search
feature, then the Recent button displays a message to that effect.
- Click the name of the desired patient in the pop-up list.
- Copia
opens the patient's record in the Demographics page, or the Insurance or Order History pages, if you had those pages open when you selected the patient.
