Admin: Text Shortcuts
Page Description
Use the Text Shortcuts administration page to add or edit text shortcuts throughout the Copia system. Text Shortcuts must be enabled by the user before they can be used. The checkbox setting Use Text Shortcuts can be found on the Application page located under the General Settings section. The checkbox is disabled by default. Once Text Shortcuts are enabled, users can trigger them by typing into text fields that accept Text Shortcuts.

Accessing this Page
- Click the Administration menu button, click the Customization button, and then click the Text Shortcuts submenu link. You must have the necessary security permissions to access the Administration menu button and to access the Text Shortcuts administration page.
When you click the Administration menu button, Copia opens the main Administration menu, which contains administrative menu buttons, including the Customization menu. To return to the main menu for Copia, click the Lab Tasks menu button.

Viewing the Text Shortcut List
- The Text Shortcuts administration page contains a list of up to ten text shortcuts. If the list is longer than one page, use the Show ___ entries field to specify how many text shortcuts appear on the page, or click the left or right arrow buttons, located above or below the list of text shortcuts, to navigate through the list.
- To view active text shortcuts only, select the Show active only checkbox at the top of the Text Shortcuts administration page. Set the inactive/active status in the Text Shortcut Setup section of the Text Shortcuts details page. See "Adding or Editing Text Shortcut Details" below.
- If you cannot find the desired text shortcut, click the Add button to add a text shortcut. See "Adding or Editing Text Shortcut Details" below.
- Click the text shortcut on the Text Shortcuts list page to view or edit text shortcut information on the Text Shortcuts details page. See "Adding or Editing Text Shortcuts Details" below.
- Enter a name into the Name field to search for Text Shortcuts by name. This is a search-as-you-type field.
- Enter text into the Shortcut Key field to search for Text Shortcuts by Shortcut Key. Shortcut Key text is used to trigger shortcut text in the appropriate fields. This is a search-as-you-type field.
- Enter text into the Shortcut Text field to search for Text Shortcuts by the shortcut text. This is the text that replaces the Shortcut Key when the Text Shortcut is triggered. This is a search-as-you-type field.

Adding or Editing Text Shortcut Details
- Use the Text Shortcut Setup section of the Text Shortcuts details page to add or edit a text shortcut. For more information on using Text Shortcuts, navigate to the Using Text Shortcuts topic.
- Enter text into the Name field to specify the name of the text shortcut that is being created. This field is required.
- Enter text into the Shortcut Key field to specify the text that, when entered into an appropriate field, will trigger the Text Shortcut. This field is required.
- Enter text into the Shortcut Text field to specify the text that will replace the Shortcut Key when the Text Shortcut is triggered. This field is required.
- Double-click a field code in the Insert Field Code table located to the right of the Shortcut Text field to insert the field code(s) into the Shortcut Text field.
- Double-click the "Current Time" field code to insert the current time field code value into the Shortcut Text field in the form of "#VALUE=Current Time#."
- Double-click the "Current Date" field code to insert the current date field code value into the Shortcut Text field in the form of "#VALUE=Current Date#."
- Double-click the "Current User's ID" field code to insert the current user's ID field code value into the Shortcut Text field in the form of "#VALUE=Current ID#."
- Double-click the "Current User's Name" field code to insert the current user's name field code value into the Shortcut Text field in the form of "#VALUE=Current Name#."
- Double-click the "Variable" field code to display the Add Variable pop-up in order to select what type of variable you would like to add. Click the Text Input button to insert the field code for a text input variable value in the Shortcut Text field in the form of "#VALUE=Variable#." Click the Drop-down button to display the Drop-down Variable Options pop-up to configure how many options there should be in the drop-down variable. Enter a value into the field, followed by clicking the OK button. Click the Cancel button to close the pop-up without adding a value. For example, entering "4" into the field will add a field code value into the Shortcut Text field in the form of "#VALUE=Variable~Option 1~Option 2~Option 3~Option 4#." The field can also contain a text input variable, which will display in the same form as a value input. The field code for a drop-down variable should be further modified once it has been inserted. Initially, the drop-down variable field code "#VALUE=Variable~Option 1~Option 2~Option 3~Option 4#" should be changed where each "~Option" should be replaced with the desired text for each option. For example, if the drop-down has "4" options of "up," "down," "left," and "right," then the field code should be updated to "#VALUE=Variable~up~down~left~right#." If the number of options needs to be changed, simply add or remove the option text and the preceding "~" from the value. Click the Cancel button on the Add Variable drop-down to close the pop-up without adding variables to the Shortcut Text field.
- Select the Active checkbox to enable users to select the text shortcut. Clear the Active checkbox to restrict users from selecting the text shortcut. If the text shortcut is inactive, Copia clears it from the Text Shortcuts list page when you select the Show active only checkbox. See "Viewing the Text Shortcut List" above.
- Select the Application Wide Shortcut checkbox to specify that the configured text shortcuts are used throughout the Copia system.
- Select the Orchard Collect Shortcut checkbox to specify that the configured text shortcuts are used in Orchard Collect.
- Click the < Back to List button to return to the Text Shortcuts list page without saving any changes.
- Click the Save button to record changes and return to the Text Shortcuts list page.
